We are looking for a bright and engaging individual who can provide a proactive, professional and effective HR support service to the HR Manager and the wider business. The HR & Recruitment Coordinator will be the first point of contact to our teams and provide strong administration, guidance and advice on a range of HR issues including employee compensation, benefits, performance management, recruitment, HR policies and regulatory compliance.
They will be responsible for co-ordinating all aspects of the recruitment cycle and for the effective administration of HR data and information.
The person will support the HR Manager to provide a full range of high- quality HR support across its three offices and contribute to wider people initiatives and operational projects to support the modernisation of the HR services and the management of change for the coming year and beyond.
We are looking for a proactive individual who will work closely with the different client groups within the business. The person needs to be confident and solutions focused with an interest in our projects and happy to help out other teams when necessary. The ideal candidate will have experience advising on a range of HR and recruitment issues. They will have excellent prioritisation and time management skills and a good sense of humour and enjoy what they do.
HR Service
First point of contact for all general HR queries, ensuring that they are answered in a timely and courteous manner
Work in partnership with line managers on performance management, employee relations and resourcing issues
Maintain and update central HR database (BreatheHR) in a timely manner whilst ensuring accuracy of all personnel information
Accurate recording of sickness absence in relation to self- certification on the HR database ? including weekly reconciliation of absence against time sheets
Coordinate the process for starters, probations and leavers including the preparation of letters and key documents
Prepare monthly payroll advice to external payroll bureau in conjunction with the Finance team, ensuring any changes are updated on the HR system and records
Management and communication of all staff benefits
Review and update effective policies and procedures with current legislation and best practice
Manage up to date information on staff intranet and external website with current and compelling news stories
Devise and maintain efficient administrative systems and processes to efficiently and effective support the work of HR. This will include records management, research or information gathering when necessary
Process HR forms and ensures the correct paperwork is sent to employees in a timely manner including, but not limited to, maternity and paternity documentation, amendment to contract letters, preparation of pay review documentation and leaver?s letters
Contribute to wider HR initiatives and projects as directed by the HR Manager, to include support on change projects that will enhance the HR service
Attraction, recruitment and retention
Maintain and track all recruitment data and produce regular analysis and reports on performance
Support recruiting managers in devising sound recruitment plans
Manage recruitment campaigns from end to end at a fair cost and in a timely manner whilst ensuring the quality of recruits. This will include, but is not limited to, providing timely correspondence to all applicants, advertising vacancies through appropriate mediums, maintaining all electronic and hard copy recruitment records/databases, selection/shortlisting, eligibility to work document checks and preparing the first draft of employment contracts
Develop a pool of direct candidates for potential recruitment through various sources: Universities and alumni, direct applicants from school age upwards, agent relationships, events and profile raising activity, Social media, inc. LinkedIn
Coordinate and develop the Graduate recruitment programme and work experience programme including selecting and then managing ongoing relationships with universities/colleges and work experience students so that they feed into Graduate recruitment or become part of the direct pool
Process and complete written reference requests for all contracted employees, identifies any potential issues and refers to the Line Manager for prompt action
Learning and development
Support the HR Manager in the preparation and delivery of talent management activities in conjunction with the learning team e.g. responding to training needs from appraisals, running key HR related workshops e.g. Induction programme, supporting the Academy Programme in conjunction with the learning team and acting on roadmap discussions to develop team members
Oversee the coordination and administration of the appraisal process and provide advice and support to all team members on their development conversations and coordination of 360 feedback
Financial management and reporting
Support HR Manager in preparation of key analytical reports (including statistics and commentary) for audiences such as the Director Board (e. g. headcount report, absence, recruitment etc.)
Assist in processing, recording and monitoring all spend against the HR budgets so as to assist the HR team with their budget management responsibilities, including managing all purchase orders, invoices and financial reports and seeking savings where possible
